Data Deletion Instructions

FlowXperia provides multiple ways to delete data associated with you, depending on whether you are a business customer using our dashboard or an end-user who messaged a FlowXperia-powered business on WhatsApp. This page explains each path and the timelines we operate under.

1. For business customers (account holders)

If you operate a FlowXperia tenant (you log in at clients.flowxperia.com), you can:

  • Delete individual leads, conversations, sales reps, templates, and uploaded knowledge-base files directly from the dashboard.
  • Request full account deletion — including all leads, conversations, WhatsApp configuration, stored access tokens, AI agent prompts, knowledge-base embeddings, billing records (subject to the legal-retention exception in section 4), uploaded media, and user accounts associated with your tenant — by emailing support@flowxperia.com from the email registered on your account, with the subject line "Delete my FlowXperia account".

We will acknowledge the request within 2 business days and complete deletion within 30 calendar days. You will receive a written confirmation when the deletion is complete.

2. For end-users (people who messaged a FlowXperia-powered business)

If you exchanged WhatsApp messages with a business that uses FlowXperia, the business is the data controller and FlowXperia is the data processor. You have two equally valid paths:

  • Reply STOP in the WhatsApp conversation. The operating business is required to honour this and instruct FlowXperia to delete your conversation history.
  • Email FlowXperia directly at support@flowxperia.com with the subject line "Delete my WhatsApp data". Include the WhatsApp phone number you used and, if you know it, the business name you messaged. We will verify with the business and complete deletion within 30 calendar days.

3. What gets deleted

  • WhatsApp display name and phone number stored in our lead records.
  • Full message history (inbound and outbound) exchanged in the conversation.
  • Media uploaded during the conversation (images, documents, audio).
  • Lead qualification fields and any AI-extracted profile data.
  • Webhook event payloads referencing your phone number.

4. What we may retain

We may retain a minimum set of records when required by law or for fraud prevention:

  • Aggregate, de-identified analytics (counts of messages by date) — these cannot be linked back to you.
  • Billing records associated with the business customer's account, retained for 7 years to meet Indian tax compliance (these do not contain end-user message content).
  • Records under active legal hold (e.g., a pending regulatory inquiry).

5. Meta / Facebook Login data

When a business customer connects their WhatsApp Business Account via Meta's Embedded Signup, we receive an access token scoped to that account. If you delete your FlowXperia account, we revoke the access token with Meta, unsubscribe our webhook from the WABA, and remove the token from our database. If you only want to disconnect the Meta integration without deleting your FlowXperia account, you can do so from Settings → WhatsApp → Disconnect in the dashboard.

6. Timeline

  • Acknowledgement of request: within 2 business days.
  • Completion of deletion: within 30 calendar days.
  • Removal from encrypted backups: within an additional 60 days as backups roll over.
